Overview

Trakoa is a personal fitness activity tracking and training insight app. This privacy policy explains how we collect, use, store and disclose personal information when you use the Trakoa app, visit our website or contact us.

Trakoa is designed for individual training. It does not include a public social feed, followers or public activity profiles. We do not use generative AI or AI-generated analysis to interpret your training.

Who We Are

The controller responsible for your personal information is Trakoa Limited, trading as Trakoa.

Information We Collect

Account Information

When you create or use a Trakoa account, we may process information such as your email address, account identifier, authentication records and account preferences. Passwords are handled through our authentication service and are not stored by Trakoa in readable form.

Activity and Training Information

When you upload, import or manually record an activity, we may process information contained in that activity, including:

• activity type, title, description, date, time and duration;
• distance, pace, speed, cadence, elevation and power;
• heart rate and other fitness or physiological metrics;
• laps, splits, best efforts, training effect and exercise load;
• GPS route and location information; and
• goals, workout selections and training preferences.

Some activity information, particularly heart rate, fitness and physiological data, may reveal information about your health. We treat this information with additional care.

Uploaded Files

When you import a fitness file, we process the file and the information contained within it to create and display your activity. We may temporarily retain uploaded files or processing records where required to complete the import, prevent duplicate uploads, investigate errors or protect the service.

Device and Technical Information

We may process limited technical information required to operate and secure the service, such as device or app version, operating system, IP address, request timestamps, error information, security logs and diagnostic information.

Website Information

We do not currently use website analytics or set non-essential cookies. When you visit trakoa.com, our hosting provider processes limited technical request information, such as your IP address, browser or system information, requested page and request time, to deliver, secure and maintain the website.

Support Communications

If you contact us, we process the information you provide, including your contact details, correspondence and any diagnostic information you choose to share.

How We Use Your Information

We use personal information where necessary to:

• create, authenticate and maintain your account;
• import, store, calculate and display your fitness activities;
• provide training analysis, suggested workouts, goals and performance insights;
• calculate features such as best efforts, training load and activity streaks;
• respond to support requests and investigate reported problems;
• maintain the reliability, integrity and security of Trakoa;
• prevent misuse, fraud and unauthorised access;
• improve the performance and usability of the service; and
• meet legal, regulatory and accounting obligations.

How Trakoa Analyses Training

Trakoa uses defined calculations, statistical methods and training principles to process activity information and generate features such as workout analysis, training load, best efforts and workout suggestions.

Trakoa does not use generative AI or AI-generated interpretation to analyse your training. Its outputs are produced using implemented rules, calculations and experienced training knowledge.

Trakoa provides fitness information only. It does not provide medical advice, diagnosis or treatment, and its outputs should not be treated as a substitute for advice from a qualified healthcare professional or coach.

Our Lawful Bases

Depending on the activity, we process personal information under one or more of the following lawful bases:

• Contract: where processing is necessary to create your account and provide the Trakoa service you request, including importing, storing and analysing your activities.
• Legitimate interests: where necessary to operate, secure, support and improve Trakoa, provided those interests are not overridden by your rights and interests.
• Legal obligation: where we must retain, use or disclose information to comply with applicable law.
• Consent: where we specifically ask for consent, including for optional website technologies or other processing that requires your agreement.

Health-Related Activity Data

Some information processed by Trakoa may constitute or reveal health data. This may include heart rate information, physiological metrics, training effect, exercise load and other fitness insights derived from your activities.

We process this information where it is necessary to provide the Trakoa service you request, relying on Article 6(1)(b) of the UK GDPR. Because health data is special-category personal data, we also rely on your explicit consent under Article 9(2)(a) of the UK GDPR.

You may withdraw your consent to the processing of health-related activity data at any time in the app from Settings → Privacy and Data → Health and Fitness Data Consent. The app will show a confirmation explaining the effect of withdrawal before it is completed. You can also contact info@trakoa.com if you need help.

Withdrawing consent does not affect processing that took place before consent was withdrawn. It stops future processing that relies on this consent, prevents new activity imports, and may disable health-related analysis and features. It does not delete your account and does not automatically delete previously stored activity data.

If you later want to grant consent again, the app will present the current Health and Fitness Data Consent wording for you to review and accept explicitly. Consent is recorded against the version of the wording shown to you.

Information We Share

We do not sell your personal information or make it available to other Trakoa users.

We use service providers to host, secure and operate Trakoa. These providers process information on our behalf only where required to provide their services. They currently include:

• An API hosting and backend service;
• A database and authentication service; and
• A web hosting service.

We may also disclose information where required by law, to establish or defend legal claims, to protect users or the service, or as part of a business sale, restructuring or transfer.

Connected Fitness Services

Trakoa does not currently connect directly to third-party fitness services. Activities are currently added by file upload or manual entry.

If we introduce an optional connection to a fitness provider in future, we will explain what information is requested, how it is used and how the connection can be removed before you authorise it.

How Long We Keep Information

We retain account and activity information while your account remains active.

If you delete your account, we will delete personal information within 1 month, except where limited information must be retained for legal, security, fraud-prevention or dispute-resolution purposes.

We generally retain:

• account and activity data until account deletion;
• security and server logs for 1 month;
• support correspondence for 1 month; and
• backups for up to 1 month before they are overwritten or deleted.

Security

We use technical and organisational measures intended to protect personal information, including access controls, encrypted network connections, authentication controls and restricted access to production systems.

No online service can guarantee absolute security. You should protect your account credentials and contact us promptly if you believe your account has been accessed without permission.

Your Data Protection Rights

Depending on the circumstances, UK data-protection law may give you the right to:

• request access to the personal information we hold about you;
• ask us to correct inaccurate or incomplete information;
• ask us to delete your personal information;
• ask us to restrict how we use your information;
• object to certain processing based on legitimate interests;
• receive certain information in a portable format;
• withdraw consent where processing relies on consent; and
• complain to a data-protection supervisory authority.

These rights are not absolute and may depend on the reason we process the information. To make a request, contact info@trakoa.com. We may need to verify your identity before completing the request.

Account and Activity Deletion

You can delete individual activities within the app. Deleting an activity removes the associated activity record and related route, stream, lap, split, analysis and best-effort information from active systems.

You can request deletion of your account through Settings → Request Account Deletion. We may contact you to verify the request. Account deletion removes your account and associated activity information, subject to the limited retention described above.

Cookies and Similar Technologies

Trakoa does not currently set analytics, advertising or other non-essential cookies in the app or on the website. Our service providers may use strictly necessary technologies or process technical request information where required to deliver and secure their services.

Changes to This Policy

We may update this policy when Trakoa, our suppliers or applicable legal requirements change. We will publish the updated version on this page and amend the 'Last updated' date. Where a change materially affects how we use personal information, we will provide an additional notice where appropriate.

Contact and Complaints

Questions, requests or concerns about privacy can be sent to info@trakoa.com.

You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection. We would appreciate the opportunity to address your concern first, but you are not required to contact us before complaining to the ICO.
